Dorm Zip Company Operating Policies (Terms & Conditions)

1. University Authorization: Dorm Zip will obtain written permission from each college or university before operating on their property. Services will not be provided at any institution without such authorization.

2. Services Offered: Dorm Zip provides move-out services at the end of the spring semester and move-in services at the beginning of the fall semester. Specific service details and pricing are outlined in the service contract.

3. Move-Out Services:

  • Scheduling: Students must schedule a move-out time at least two (2) weeks in advance through the Dorm Zip website. Changes to scheduled times may be subject to a fee as specified in the contract.

  • Packing Materials: Dorm Zip will provide the two (2) purchased empty packing boxes per student no later than two (2) business days after the move-out time is scheduled. Additional boxes may be available for purchase.

  • Packing and Labeling: Students are responsible for packing their belongings and labeling each box with their full name, student ID number, and other Company-provided identifying information. Photos of packed boxes are recommended and may be required as part of the move-out process.

  • Pickup and Storage: Dorm Zip will pick up packed and labeled boxes at the scheduled time and transport them to its climate-controlled storage facility.

  • Sale of Belongings: Students may sell unwanted belongings to Dorm Zip. A Dorm Zip representative will appraise items, and Dorm Zip reserves the right to refuse any item for any reason. Payment for purchased items will be made via cash, card, or as credit towards future services.

  • Receipt: Students will receive an itemized receipt listing services provided and associated fees.

4. Move-In Services:

  • Notification: Students must notify Dorm Zip of their move-in date at least two (2) weeks in advance through the Dorm Zip website. Notification must include the student's full name, student ID number, move-in date, and dorm room location.

  • Delivery: Dorm Zip will retrieve the student's belongings from storage and deliver them to the student's designated dorm room no later than one (1) day before the official move-in date.

  • Proof of Delivery: Upon delivery, Dorm Zip will provide photographic proof of delivery, showing the location of the delivered items in the dorm room. These photos will be retained by Dorm Zip for 7 days after delivery and made available to the student upon request.

  • Resale Area: Dorm Zip will operate a resale area during move-in weekend, offering dorm essentials for purchase on a first-come, first-served basis. All sales are final; no returns will be accepted. Items not sold by the end of the move-in weekend will be donated to charity.

  • Customer Satisfaction Survey: Dorm Zip will conduct a customer satisfaction survey after the move-in weekend.

5. Shipping Policy:

  • Emergency Shipping: In the event of an unforeseen circumstance, such as an emergency withdrawal from school with valid documentation provided by the student, Dorm Zip will ship the student's belongings to their home address. "Valid reasons" include medical withdrawal, documented hardship, etc. Dorm Zip reserves the right to refuse shipping if the reason is not deemed valid.

  • Shipping Costs: Shipping costs will be calculated based on weight, size, and distance and will be communicated to the student before shipping. Additional charges may apply for oversized items.

  • Standard Shipping: Except for approved emergency situations, Dorm Zip will not ship belongings to any location other than the student's designated dorm room.

6. Contract and Payment:

  • Service Contract: All services will be documented in a written contract signed by both the student and an authorized Dorm Zip representative. The contract will detail the specific services, pricing, terms, and conditions, including these Operating Policies. The contract will be signed during the move-out process and will remain in effect until all contracted services are completed.

  • Payment Terms: Payment is due at least a week before the scheduled move-out date. Accepted payment methods are cash or card. After one week before the scheduled move-out date, late fees will be applied at the rate of an additional $10 per day. A full refund will be made on all payments if the customer cancels service no later than 2 weeks before the scheduled move-out date.

  • Payment Disputes: If a customer disputes a charge, they must contact Dorm Zip within 7 days of the date of the charge. Dorm Zip will investigate the dispute and resolve it in a timely manner.

  • Changes to Payment Terms: Dorm Zip reserves the right to modify these payment terms at its discretion. Customers will be notified of any changes in advance via email or a website posting.

7. Communication:

  • All communication between Dorm Zip and the student will be conducted via email or phone using the contact information provided by the student.

  • Dorm Zip Contact Information: dormzipllc@gmail.com. Expected response time for inquiries is 2-5 business days.

8. Information Collection:

  • Dorm Zip will collect the following information from students: email address, mobile phone number, home address (only if shipping is anticipated), and a brief description of items to be stored or moved. Dorm Zip will not request sensitive information such as Social Security numbers.

9. Prohibited Items:

  • The following items are strictly prohibited and will not be handled by Dorm Zip:

    • Perishable food items

    • Dangerous/illegal substances, including but not limited to: fireworks, propane/butane, gasoline/gasoline containers, ammunition, drugs/medications (prescription or otherwise), weapons, liquids (flammable, corrosive, or otherwise hazardous), aerosols (unless clearly labeled as non-hazardous)

    • Items that could damage other students' belongings, including but not limited to: moldy furniture, wet or damp clothing or items, containers holding liquids.

  • Students are solely responsible for ensuring their belongings do not contain any prohibited items.

  • Discovery of Prohibited Items: If prohibited items are discovered, Dorm Zip will isolate the items, notify the student, assess any damages, charge for disposal/cleaning, and potentially contact authorities if illegal substances are involved. The student will be responsible for all costs associated with the handling and disposal of prohibited items.

  • Verification: Students will be required to verify that their belongings do not contain prohibited items.

10. Insurance and Liability:

  • Insurance Coverage: Dorm Zip maintains insurance coverage for loss of stored items due to specific perils (e.g., fire, natural disaster). This insurance does not cover damage to items.

  • Liability: Dorm Zip's liability for loss or damage to stored items is limited to $5000. Students are strongly encouraged to obtain supplemental insurance for valuable items.

  • Fragile Items: Students are solely responsible for properly packing fragile items to prevent damage. Dorm Zip is not liable for damage to fragile items not packaged appropriately. Photos of packed items are required.

11. Abandoned Property: Any belongings left in storage for more than 5 days after the end of the storage period will be considered abandoned. Dorm Zip will attempt to contact the student using the information on file. If the student does not claim their belongings within 14 days of notification, Dorm Zip reserves the right to dispose of the belongings as it sees fit, including but not limited to donation or sale.

12. Dispute Resolution: Any disputes arising under this agreement will be resolved through mediation or arbitration via digital or in-person communication. Both parties must provide valid and substantial evidence for themselves.

13. Force Majeure: Dorm Zip shall not be liable for any failure or delay in performing its obligations under this agreement to the extent such failure or delay is caused by events beyond its reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, riots, embargos, acts of civil or military authorities, fire, floods, accidents, strikes, or shortages of transportation, facilities, fuel, energy, or materials.  

14. Governing Law: This agreement shall be governed by and construed in accordance with the laws of the State of Florida.

15. Severability: If any provision of this agreement is held to be invalid, the remaining provisions shall remain in full force and effect.  

16. Entire Agreement: This agreement constitutes the entire understanding between the parties and supersedes all prior negotiations and agreements, whether written or oral.  

17. Amendment: Dorm Zip reserves the right to amend these Operating Policies at any time. Notice of changes will be posted on the Dorm Zip website and will be effective 2 days after posting. Continued use of Dorm Zip's services after the effective date constitutes acceptance of the revised policies.
